Job Description

A company in the Oklahoma City area is seeking detail-oriented and proactive Escrow Assistant to join their dynamic team. As an Escrow Assistant, you will process of real estate transactions, ensuring that all documents and funds are handled efficiently, accurately, and in compliance with legal and regulatory requirements. You will play a crucial role in assisting clients, managing communication between all parties, and ensuring a smooth transaction from opening to closing.

Key Responsibilities:

  • Document Preparation and Review: Assist with preparing and reviewing escrow documents, including agreements, title reports, and settlement statements. Ensure all necessary signatures and supporting documents are obtained and correctly filed.
  • Communication Support: Act as a liaison between escrow officers, clients, real estate agents, lenders, title companies, and other parties involved in the transaction. Respond to inquiries, provide updates, and address any issues or discrepancies that arise during the escrow process.
  • File Management: Maintain accurate and organized records of all escrow transactions. Track deadlines and ensure all required documents are completed and submitted on time.
  • Funds Management: Assist with the collection and disbursement of escrow funds. Ensure proper handling of trust account funds and accurate reconciliation.
  • Transaction Coordination: Monitor timelines to ensure the smooth progression of escrow transactions. Help with scheduling inspections, appraisals, and other necessary tasks related to closing.
  • Compliance and Accuracy: Ensure that all escrow activities comply with legal, regulatory, and company policies. Maintain confidentiality of sensitive information and follow data protection regulations.
  • Client Support: Provide excellent customer service by addressing client concerns, answering questions, and guiding them through the escrow process.

Required Skills & Qualifications:

  • High school diploma or equivalent (Bachelor’s degree preferred).
  • Experience with Simplifile is required
  • Previous experience in an escrow or real estate environment is required
  • Strong attention to detail and excellent organizational skills.
  • Ability to handle sensitive information with discretion and confidentiality.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office Suite and basic office software.
  • Ability to multitask and manage multiple priorities in a fast-paced environment.
  • Knowledge of escrow procedures, real estate terminology, and compliance regulations is preferred
