Role Overview: We are seeking a sophisticated, highly organized, and proactive Personal/Executive Assistant to directly support a dynamic executive who runs a prominent non-profit organization in Santa Fe, NM, and an independent consulting firm. This role involves working in a highly dynamic, challenging, and constantly evolving environment. The position requires interfacing with multiple university research teams, adapting to shifting priorities and business dynamics, and demands a high level of sophistication, creativity, and flexibility. The ideal candidate will have exceptional organizational skills, strong project management capabilities, excellent writing and communication abilities, and experience in managing complex schedules and priorities.

Key Responsibilities:

  • Manage and prioritize daily tasks, projects, and deadlines for the executive’s professional and personal activities.
  • Assist in organizing and structuring ideas, research, and materials for newspaper columns, books, presentations, and other writings.
  • Coordinate meetings, speaking engagements, and appointments, ensuring all necessary preparation and follow-up are completed efficiently.
  • Conduct minor personal and professional errands as required.
  • Maintain an organized system for tracking and prioritizing tasks, events, and communications.
  • Facilitate clear and professional communication on behalf of the executive as needed.
  • Support special projects within the non-profit and consulting practice, including basic project coordination, logistical management, and client interactions.

Qualifications:

  • Bachelor’s degree preferred.
  • Prior experience as an Executive Assistant, Personal Assistant, or Project Manager highly desired.
  • Strong organizational, time-management, and multitasking skills.
  • Excellent written and verbal communication abilities.
  • Professional demeanor with the ability to interact comfortably and effectively with diverse groups of people.
  • Proficiency with Microsoft Office Suite, Google Workspace, and common productivity tools.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Flexibility to occasionally accommodate varying work hours or occasional travel.
